The individual in this role will provide administrative support to VP of Sales for BCS, Regional VPs and field sales force. The individual will manage both day to day sales support activities and large scale projects including annual budgeting process, sales conferences and regional meetings, sales presentations and related.

    • Bachelors degree in business, finance, marketing or related preferred or equivalent combination of education and experience in high level executive support function.



    • Minimum 5 years of sales administration and sales support



    • Independent judgment is required to plan, prioritize, organize and accomplish a diversified work load.
    • Able to evaluate situations, identify options and implement effective solutions quickly and efficiently. 
    • Requires strong organizational and time management skills, close attention to detail and be able to effectively handle multiple priorities. 
    • Requires close attention to detail, ability to audit work to identify issues and implement processes to prevent errors.
    • Exceptional computer skills, extensive knowledge of word processing, spreadsheet, presentation and data base software, proficiency with various e-mail, calendaring, meeting management and related communications software. 
    • AS400 experience preferred. 


    Position Attributes

    Main Job Duties

    • Provides support to VP of Sales and executive sales team, arranging sales meetings, making travel and related arrangements, handling communications and correspondence. Assists with resolving issues and provides data and information to field sales force as required.
    • Working with the Sales Leadership, develops annual sales budgets for BCS Sales, gathering and analyzing data, creating budget materials, spreadsheets, reports and related. Present annual budget to management team. Monitor actual spend against budget on a monthly basis, evaluating variances and providing details on a monthly basis to RVP’s and VP of Sales.
    • Manages all aspects of large scale projects, including organizing and managing annual sales conferences/regional sales meetings, trade shows and related industry sponsored events in which BCS takes a leadership role. Provides detailed agendas, makes arrangements for travel, lodging, meeting rooms and related. Assists with the development, production and delivery of all training and presentation materials, power point presentations, information packets, binders or other hard copy and multi-media materials.
    • Reconcile all rebates, incentives, and bonuses per Corporate Agreements, including Cornerstone, on a monthly/quarterly/yearly basis with finance.
    • Processes and maintains marketing fund requests and approvals for the BCS sales force. Enforce the process and procedures and audit the request to ensure the accuracy of the request. Approves and submits requests to finance for process of credit or check.
    • Using a variety of financial and sales data from each entity within BCS, communicates quarterly sales matrices for all field sales associates participating in the sales incentive plan. Validates calculations with finance. Calculates year end matrices for management team of BCS, consisting of RVP’s, RSM’s, Directors of Sales, etc.. Validates with entity finance team. Completes incentive analysis on quarterly/yearly basis for all field sales associates.
    • Ensures integrity of sales data and sources to develop reports on a monthly/quarterly basis of various types for VP of Sales and Management Team. Analyzes and compiles data to complete several Point of Sale/Transfer processes on a monthly basis.
    • Manages sales related Access databases, updating and ensuring accuracy of data. Extracts data and creates reports, charts, graphs and spreadsheets to support sales initiatives and goals.
    • Develop and prepare information presentations for Sales Team to have effect meetings (for example, with distributors at NAED’s, Imark, AD and several other Industry meetings).
    • Manages buying group website for distributors to ensure accuracy of monthly sales data and goals set by sales incentive programs.
    • Manages commission structure and commission reports for Agency Representatives for their monthly payments. Completes random audits to ensure accuracy of system. Set up new agencies in system when needed.
    • Responsible for all Agency Representative’s contracts for BCS (Wattstopper and Solarfective) and update when needed.
    • Assists with yearly sales quota/target calculations for entire BCS sales departments by Region, District, Territory, Agency, Channel, and Progam.
    • Compiles and creates the focused product targets/quotas for the field sales team required for the sales team goals.
    • Administrator to the service center, Salesforce.com, and other databases for all field sales employees and Agency Representatives ensuring accurate setup for direct access to their sales information through the service center.
    • Works with Administrative Services team to provide backup for services and functions within the facility.
    • Performs other similar and related duties as required.
